The Gathering, a non-profit Christian organization focused on philanthropy and stewardship. Over time, they have expanded to offer a diverse array of resources, from personal experiences and family legacies. Their growth presented new challenges such as clean and secure data management, keeping member information up-to-date, and accurately handling event registrations and payments. When faced with these challenges, The Gathering remained committed to improving the experience of their members. They teamed up with DataCose to create a custom member portal and database to better serve their members and manage their resources effectively.
The Gathering saw the opportunity to centralize their business data, including information about their members, invitations, registrations, donations, event attendees, speakers, and guests. Instead of having data spread across multiple locations, they sought a forward-thinking solution that would gather all of the information into one place.
Recognizing the value of having accurate information, The Gathering strove to keep data up-to-date and easily accessible when needed. This would help them serve their members and strengthen their community bond through relevant, accurate, and personalized communication.
The Gathering wanted to make event sign-ups and payments easy for everyone. They aimed to improve attendee satisfaction and make event operations smoother. Instead of creating new sign-up systems for each event, they decided to use a single, reusable process to save time and effort.
DataCose designed and implemented a member portal and database. The portal streamlines the registration process for their events, including the annual conference and smaller gatherings called Explorations. The solution allows invited members to manage their household profiles, link relationships, and register for events efficiently. Key features include pre-filled registration forms based on previous data, detailed participant information collection, and secure payment processing. The portal supports optional activities and dinner arrangements, ensuring a seamless experience for both members and organizers. This custom solution significantly improved operational efficiency and user satisfaction for The Gathering.
The new pre-filled registration form has saved members approximately 10 minutes per registration, leading to a 60% improvement in registration efficiency. Previously, members would have to enter in a lot of duplicate information per attendee. This user- friendly process improved member satisfaction and reduced administrative workload.
By moving scattered data into a single location, The Gathering has significantly reduced duplicate data entry and discrepancies. This consolidation has led to more accurate and reliable data, enhancing overall data integrity.
The new system has made it twice as easy to find and update information about members and past events. This increased ease of access has boosted the team's confidence in data accuracy, ensuring that updates are correctly recorded and used for future planning.
With the streamlined registration process, The Gathering has seen a notable rise in event attendance. The ease of registering for events, coupled with the ability to manage household profiles and link relationships, has made it more convenient for members to participate. This increase in attendance has contributed to more vibrant and successful events.
